DETAILED BUSINESS SPECIFICATION (DBS)

Contents:

a. Prepare

i. Who:

  • Person assigned to write the DBS when: as soon as possible after assignment, and before beginning the DBS

ii. How:

  • Search TASKfit for DBSs relating to the task, and inspect them to see if any are suitable for contributions to the new DBS
  • Make note of past estimates made for the task (using report ESTIMATES ANALYSIS.xls)
  • Review the initial proposal for how to fill the gap with a senior technical consultant
  • NB: Time spent on writing the DBS should be logged against the DBS in a WTI expressly made for that part of the work.

b. Start

i. Who # 1:

  • Person assigned to write the DBS

ii. When:

  • After preparation is complete

iii. How:

  • Start a new DBS document using the template, and save it under l:\custfile\[client subdirectory]\DBS\DBS NNNN - [DBS Title as in TASKfit]
  • Where NNNN is the TASKfit DBS number; there should only ever be one DBS directory for a client
  • Change the DBS record in TASKfit to status = “First drafts at FIT” and attach the document
  • Complete the first pass at the DBS following the instructions on the template and change the status to “Under discussion” (remember to use macro to delete instructional comments)
  • Turn on Track Changes, and provide the DBS for internal review by:  1) a senior technical consultant (who also adds WTIs and estimates); 2) another business analyst; 3) the delivery manager or the project manager

From this point on, please observe the following:

  • Every review should include the addition of review details to the table at the start of the DBS
  • Every change must be tracked and appropriately accepted or rejected by the author
  • Every set of changes must be associated with the addition of version details to the table at the start of the DBS (which can also include hyperlinks to the modified areas)
  • Do not email copies of document to reviewers; email a shortcut
  • Do not make any other copies of the DBS

iv. Who #2:

  • Project manager

v. When:

  • As estimates are completed

vi. How:

  • Enter appropriate WTIs and estimates in TASKfit

c. Complete internal review

i. Who:

  • Person assigned to write the DBS

ii. When:

  • As feedback is received

iii. How:

    • Adjust the DBS as needed and provide it for review again
    • Send the DBS to the client, and change the status to “Sent to client”

d. Complete external review

i. Who #1:

  • Person assigned to write the DBS

ii. When:

  • Once internal review is complete

iii. How:

  • Make changes as feedback is received; any changes must result in a reissue of the DBS
  • Change status to “Needs new estimate” as appropriate (and add new estimates as they are made)
  • Once agreed, change status to “Agreed by client - READY FOR DEVELOPMENT”, and change the status of the WTI that was set up for time spent writing the DBS to “Closed”.

iv. Who #2:

  • Project manager

v. When:

  • As DBSs are completed

vi. How:

  • Create DTSs (one per DBS) on TASKfit as required
  • Create WTIs on TASKfit as required; more than one per DBS is acceptable (see separate work instruction)
